Organization Overview:
The Jewish Federations of North America (JFNA) represents 146 Jewish Federations and over 300 Network communities, which raise and distribute more than $3 billion annually for social welfare, social services and educational needs. The Federation movement, collectively among the top 10 charities on the continent, protects and enhances the well-being of Jews worldwide through the values of tikkun olam (repairing the world), tzedakah (charity and social justice) and Torah (Jewish learning).  


Position Summary:
The Project Assistant helps the Managing Director and Associate Director implement the daily operations of The JFNA Center on Aging and Trauma (Center). The Center has a grant from the U.S. Department of Health and Human Services, Administration for Community Living/Administration on Aging (ACL/AoA) to advance person-centered trauma-informed (PCTI) supportive services for Holocaust survivors, older adults with a history of trauma, and their family caregivers by distributing subgrants to local agencies and Jewish Federations, and by providing technical assistance and capacity building support to subgrantees and the Aging Services Network at large.


The Center recently received a second five-year grant from the ACL/AoA that is renewable annually for up to five years. JFNA is seeking additional funding to continue the work and this position beyond five years. Funding for this position is contingent upon annual Congressional appropriations and continued receipt of the grant. 

 
JFNA will continue working remotely, on account of the COVID-19 pandemic, until it is safe to return to the Washington, DC office.


Responsibilities:

  • Track, organize, and maintain documents online for six social service programs and multiple projects, each with multiple components.
  • Track payments made to subgrants.
  • Provide technical assistance to applicants, subgrantees, and the Aging Service Network by responding to telephonic and E-mail inquiries.
  • Draft and disseminate memos about the Center’s request for proposal and program guidelines (RFP), trainings, and resources.
  • Learn how to use multiple software programs, serve as the Center’s point of contact to software companies and JFNA Information Technologies (IT), and train and support colleagues using these software programs. Software programs include, but are not limited to: JotForm, Foundant Technologies, Piazza, Google Docs and Forms, SurveyMonkey, DoodlePoll, Concur, Microsoft Office, and Zoom.
  • Develop reporting templates, maintain and organize online data collection, and assist with data compilation as requested.
  • Track donations and coordinate the dissemination of thank you notes.   
  • Create and maintain standard operating procedures (SOP) on Center operations.       
  • Coordinate all technical components of hosting webinars and edit and develop the webinar PowerPoint presentations. 
  • Maintain and update the Center website and the subgrantee web portal.
  • Assist with providing financial oversight of subgrantees by analyzing budgets, quarterly spending reports, and other financial forms. Assist with compiling financial data for internal audits.
  • Coordinate travel and vendor logistics for trainings, meetings, and site visits. File expense reports for Center staff and ensures that all Center bills are timely processed.
  • Maintain Center calendar.
  • Envision new and improved ways of tracking documents and develop systems to promote efficient coordination among team members.
  • When we return to working in the office, provide limited administrative support by answering the main office telephone and door, helping with set-up and break-down of events, and assisting the administrative team when needed.
  • Complete other assignments as requested.


Qualifications:  

  • Bachelor’s degree preferred.
  • Excellent organizational skills and ability to develop systems to track information.  
  • Strong written and verbal communication skills and attention to detail. Professional self-starter with the ability to manage multiple tasks and deadlines, and work in a fast-paced environment.
  • Ability to learn multiple software programs, and proficiency with MS Office Suite.  
  • Interest in aging and trauma and a commitment to helping Holocaust survivors, older adults with a history of trauma, and family caregivers.
  • Ability to occasionally travel domestically, when safe.
